Development

In addition to the changes you have seen over the last 12 months (embedding videos, analytics, user management), we also have a new guidelines module which you can see on our demo site - we can implement this for you and much more.

You can also see all the updates and improvements below. Please let us know if there are any specific features you require we can get to work in the lab!

We're also trying to keep the page Frequently asked questions up-to-date at all times with the latest features. Its sections are summarised and may be easier to read.

Road map 

These are features considered for implementation in the future. Please send us your ideas for improvements.

App/Website tools 

  • App: user-defined bookmarks (DONE!)/watchlists.
    • Implement user notifications for watched pages.
    • Implement domain-wide notifications.

Discussion / brainstorming 

  • Implement metadata (categories, tags, labels) to pages and sections.
  • Implement automatic deletion of unused user accounts.

August 2025 

Website, app:
  • Improve email notifications about changed permissions.
  • When a toolbox has Autologin enabled, welcome messages will highlight this information.
  • When a toolbox is restricted, messages to pending users will emphasise that the account is waiting for approval.
  • The NICE guidelines now list more categories of their publications.
  • Improved the alphabetical sorting of the subpage buttons with a natural sorting, this means Theatre 10 will appear after Theatre 9, not after Theatre 1.

Mobile app:
  • The advanced search Top results will now be available if the device is online. 
  • The search results will now be split into 3 sections, Top results, XYZ Toolbox and Shared section.

Administration:
  • Improve user permissions for trusts that operate more than one toolbox.
  • Improve the Posters/Reports templates.
  • Improve the email notification templates.
  • Add new job roles/grades IMT#, CST#, Dental trainee.
  • The Search cloud will now include searches from the mobile app (if the device is online).
  • In the Manage users page, you can now filter users by typing "!" for inactive, ">" for temporary, and "*" for users with certificates.

Under the hood:
  • Update web application firewall rules.
  • Update support for recent browser versions.
  • Improve Sync folder background update functions.
  • Work is underway to allow for app users to directly download files in their browser without having to re-sign in.
  • Work is underway to prototype a new detailed realtime analytics system.

July 2025 

Visual editor, website, app:
  • Embedded pictures that are too tall will now be scaled down to fully fit on the screen (also on the app), To open the original picture users can click on the smaller one.
  • It is now possible to add a filter box before a long list of subpage buttons.

App:
  • The app will now update every 3 minutes while it is on the screen, even if the user doesn't interact with it.
  • Style improvements.
  • Improved display of the Yorkshire and Humber shared section on the app homepage.
  • Improve handling of filenames that contain special characters like "&".

Posters:
  • Improved the display of the embedded frames for the website and app.
  • The "Report" poster should now better vertically space the different elements.

Administration:
  • We can now automatically search and replace texts in all your pages, let us know when you need such a function.

Under the hood:
  • Update web application firewall rules.
  • Improve process of notification, review and removal of accounts where the emails bounced with permanent errors.
  • Update support of recent browser versions.
  • Improve Sync folder background update functions.
  • Add a new function to convert a list of links to a Document table.
  • Refactor and streamline the bulk import accounts function.

June 2025 

Website, app:
  • It is now possible to have custom button links both among the list of subpages (links to pages from different branch of the tree) and separate sections with manually selected pages. This can allow for more precise cross-linking.
  • The Sign Up page makes it clearer what hospital it is about.

Embedded frames:
  • Added configuration options for alternative texts.

Search function:
  • Optimised maintenance and indexing updates, reports, clearing existing cache on page changes.

Administration:
  • New function "Wrench->Page visits" shows monthly visits ("clicks", "hits") to every page on the website only. Visits to the page on the app should be added in the future.

Under the hood:
  • We have migrated to a dedicated email provider for notification emails. The new notifications are from notify@notify.health-toolbox.com - if an automated notification message lands in Junk, please mark it as "Not Junk".
  • Update web application firewall rules.
  • Update local scripts after hosting provider removed shell interpreters.
  • Updated support of recent browser versions.

May 2025 

Website, app:
  • If there is a text block on the homepage, it will now appear consistently below the buttons.
  • Updated page Feedback & testimonials.
  • It is now possible to include subpage buttons for pages that are in a different page tree or level.
  • Rewrote the protocol to update the MDCalc list of calculators on the app, improve instant search.

Basic search/Semantic search:
  • Some of the most recent searches may now cache the results for faster display when the user goes back and forth checking multiple links.

Administration:
  • Manage users page: 
    • The listings now display the number of edits on pages by the users in the last 12 months. Clicking on that number opens a table where the user's edits and uploads are listed per page.
    • The user listings show icons for certificates the user received. Placing the mouse cursor over an icon reveals the date and role on the certificate.
    • You can now check users and from the drop-down after the list, select configure certificates to be sent to them. In a new page you can verify the user name, honorific, toolbox role, and years.
    • The Add user form now makes it clear that administrators can create accounts for any email address, not just NHS.
  • We are working on improving the Analytics.
  • We are working on faster and more reliable email notifications, and automated reports about wrong email addresses.
  • Improvements to the app mockup display in posters.

Under the hood:
  • Update firewall rules.
  • Improvements to the Mail queue functions.
  • Improvements to the Email notification templates.
  • Updates to the base software frameworks.
  • Improved handling of the app when a very large file over the system limits is dropped for upload.
  • Improvements to the support review interface for attached pictures.

April 2025 

Website:
  • On homepages, added the label "Try the search box to quickly find what you need".
  • Added new abbreviations.
  • Improved indexing of multiple files dropped at once.
  • It is now possible to configure recipients for the daily and monthly notifications independently.

Address book/Contacts directory:
  • Added a button to expand and collapse all long entries.

Administration:
  • In the Manage users page, administrators can now select users to be granted certificates.
  • It is now possible to attach files to be sent to newly added user accounts, for example a poster or a form.
  • Fixed a bug with the Change hospital functions.

Under the hood:
  • Update firewall rules.
  • Improvements to the Mail queue functions.
  • Improvements to the New Toolbox templates.
  • Improvements to the Email notification templates.
  • Updates to the base software frameworks.

March 2025 

Document tables module:
  • Fixed save entry function that could fail to record the file size of an updated document.
  • It is now possible to configure the tables to show the last updated dates and times instead of the expiry dates, per page. This may be useful on pages where the documents are often updated, like roster lists.

Website regular search:
  • In the Top hits, added instant text previews of the document sections that are likely to include relevant information about the search terms. These can be toggled after every link to a matching document.
  • For editors and administrators, after the Top hits, a link will allow to directly open the semantic search with the same query. This will make it easier to compare the answers and evaluate the reliability of the semantic search.

Semantic search:
  • Improve question format.
  • Document tables listings will now be indexed for the semantic search, in addition to individual files.
  • Added instant text previews of the document sections that were used to generate the answers. These can be toggled after every link to a matching document.

Administration:
  • The Administration panel has a new "card" for Page analytics, and another one for the Semantic search.
  • Major optimisation to the Analytics functions is in progress. The statistics were split into subpages and will load faster.
  • Bulk-uploading user accounts can now also set their validity dates.

Under the hood:
  • Improve the back-end remote feed update functions.
  • Sending multiple notifications to users will now be added to a queue that will be processed progressively. This prevents system crashes.
  • User accounts that were never used will not be notified when access is removed.
  • Updates for recent browser versions,

February 2025 

  • Work is underway to allow for direct linking to NICE guidelines.
  • Work is underway to allow for splitting of large documents into chapters for easier retrieval when referenced.
  • Added new abbreviations of medical terms. Improved the function handling abbreviations, now searching for the full term will include search for the abbreviation.
  • Updated disclaimer.
  • It is now possible to exclude the compression of specific files or folders.

Large lists filtering:
  • Improve display of the status line when there is no last-modified date.

Administration:
  • Added new job roles as unspecified Core Trainee, Specialty Trainee and Higher Specialist Doctor.
  • Improved welcome email templates for new user accounts.
  • Improved Poster B styles and spacing.

Under the hook:
  • Updated firewall settings, browser version requirements.

January 2025 

Website, app:
  • Page modification and review dates will now be hidden on homepages and pages that contain a daily automatically updated section like a feed, library, or sync folder listing.
  • Collapsed sections will now show ...See more, easier to notice.

Large lists function (used in Sync folders, news feeds, podcasts, large directories):
  • The date of the last update will now appear in the top status line of the listing.
  • Added Santa to the comic response styles.
  • Improved the "Top hits" relevance results.
  • Added more abbreviations.
  • Improved handling of very large documents.

Administration:
  • Improved display of the search cloud.
  • Added new job roles GPST1 to GPST3.
