Website, app:
- Improvements to the instant filtering functions.
- Improvements to colours, text styles, table styles.
- Streamlining of the user page feedback form (on the website).
- New function for a filterable list of all files attached to all pages, accessible to readers. Let us know if we can install this in your toolbox.
- On email confirmation pages, added a screenshot reminding users to check in their junk folders.
Guidelines (Document tables) module:
- The module is now enabled on most pages for all hospitals, after a trial run in 3 hospitals. Previously it was available in one page, and needed to be manually enabled on other pages, now it is available in most pages. The links "Add document" and "Add or edit categories" near the bottom right of a page are only visible to users with edit access, and only on the website.
- For editors, the listings now display the number of times a file has been downloaded. Note that:
- On the app, once a file has been downloaded, the user can open it multiple times without incrementing these numbers.
- A file updated with the same filename will continue its numbers from where they were before; a file replaced with a different filename will have separate numbers.
- A large listing with all tables from all pages can be opened from the Administration panel, with the heading "Document tables". For editors, these tables also list the number of views per document.
Sync folder module:
- The CSV spreadsheet export (manually downloaded or automatically emailed to your team) now includes columns with the number of times every document has been downloaded in the last month, and totals (since May 2023 when this information became available). Like for the Guidelines module above:
- On the app, once a file has been downloaded, the user can open it multiple times without incrementing these numbers.
- A file updated with the same filename in the same (sub)folder will continue its numbers from where they were before; a file replaced with a different filename and/or in a different folder will increment separate numbers.
- A real file and all its crosslinked entries to the same file increment the same numbers.
- Separate duplicate files, even if identical, each increments its own numbers.
- Files that have been replaced or deleted will not be listed with their numbers, but we have these in case your team needs them.
Administration:
- In the Admin panel, the "Manage users" card now has an additional link to the older table listing, for administrators who prefer that one (not recommended for hospitals with large numbers of user accounts where the old format is slower in the browser).
- Fix a bug where a pending notification could be sent without users waiting for approval.
Under the hood:
- Update base frameworks and libraries to latest versions.
- Improvements to the security/firewall settings and review process.
October-November 2023
Website/App:
- Update some of the shared podcast feeds.
- Improvements to the instant filtering functions.
- The Send feedback form in every page now includes a link to directly email the page maintainer, or the toolbox contact.
- Improvements to the email confirmation texts.
Visual editor:
- You can now select custom colours for the page buttons if you want to highlight certain subpages. Click on the button next to the Title input box to preview and cycle different colours.
App:
- Removed the "Remember details on this device" checkbox as it confused some users who inadvertently lost their preferences. The app now automatically remembers the user preferences.
- Added messages when the user needs to sign out and back in.
- Updates for the page button colour selection.
- Fix a bug with the Frameset mode, in some cases the app frame could appear frozen.
Contacts module:
- Large lists with exported contacts are now cached for faster display.
Guidelines module:
- The expiry month field now uses a new type of dropdown that allows for easier selection of the month and year.
- A new button "Detach" allows to remove the attached file from the document entry. All other metadata, or an external link, will be kept, or you can attach a new file.
- You can now see a large list with listings from all pages In the Administration panel, a new tab "Document tables". Clicking on links and wrench icons will open the document entries in the individual pages.
- A new dropdown makes it easy to cross-link documents from the Sync folder into the Guidelines tables (when this is enabled).
Sync folder:
- Improvement to the synchronising and indexing functions.
- Added Virtual folders. You can now create folders and subfolders that do not exist in the original sync folder. You can use these to insert selected cross-links to existing documents, external links, text notes, page links, or attached forms.
- In the Guidelines module, a new dropdown makes it easier to cross-linking documents from the sync folder into other pages.
- Improvement to the document retrieval, including titles and expiry dates, when the sync folder is a remote library website.
- Improvements to the functions showing orphan and duplicate files, metadata to deleted files or wiki pages, and recently added/renamed/removed files.
- It is now possible to manually attach common spreadsheet file formats to the listings.
Posters module:
- Added an input control to zoom/scale the text in the mockup frames before printing.
Administration:
- The Manage users listings have been redesigned into a simpler paginated format
- Most important information per user, with sections per user permissions.
- Faster instant search, especially for toolboxes with large numbers of users.
- You can now select multiple adjacent checkboxes by holding down the Shift button.
- Unused accounts are flagged with an icon, and you can filter for these by typing "unused".
- The Pending user requests messages will now list all users waiting for approval rather than just the last one.
- The Admin panel has a new tab listing all document tables from the Guidelines module.

September 2023
Contacts module:
- Added a handle to make it easier to reorder the properties of the contact with the mouse.
- "Notes" entries will now appear in orange colour, and long texts will be collapsed.
- Cross-linked categories/entries in other pages will now show the "notes" property.
Sync folder:
- Improvements to the detection of dead cross-links to files, folders, and pages.
- The listing will now remember the search terms and the page when opening a document, and will restore itself when the user clicks on the back button.
- It is now easier for us to prepare for a large migration, as in a renamed top-level folder with hundreds of files. Please contact support if you need to rename or move a folder with many documents.
Administration:
- The posters/reports mockup app frames will now have a simpler layout, and will not require signing into the full web app.
- The Search cloud, accessed from the Administration panel, now has controls to select the sample duration and the order of the entries.
Documentation:

App/Website
- Replaced a function that filters large lists more efficiently and highlights the matching lines.
- Search boxes will now have a "magnifying glass" icon on the left.
- It is now possible to configure specific IP addresses to be allowed in by following a simple link or internet shortcut.
- It is now possible to link to specific pages or attached files rather than the landing page.
- Improvements to the duplicate detection and reporting.
- Update for the Large lists search function.
- The daily report will now correctly label renamed files instead of listing an added and a deleted file. Filenames with multiple spaces will now highlight the adjacent space characters. Improvements to the styles and colours for the report.
- It is now possible to configure files in selected folders to never expire.
Remote feeds module
- Intranet links will now be detected and marked with a suffix "(intranet)".
Posters/Reports
- New font (same as on the Toolbox website), minor improvements to the styles and spacing.

Administration
- Added a new Administration panel for your toolbox, where editors and admins can find all advanced functions and notifications in one place.
- The Wrench menu was greatly simplified, only keeping the tools that are used most often. A new "Administration panel" link with a notification count opens the new admin page.
- The Administration contacts form was moved from the homepage to the Admin panel.
- The Recent changes page was converted to a table and moved to the Admin panel.
- The Attached files page was simplified.
- In the Manage users form, it is now possible to ban/block a user account instead of simply removing access. Please use only when there has been malicious disruption.
Under the hood
- Improvements to our error reporting.

- It is now possible to configure fine-grained administrator controls unrelated to the editor permissions of the account.

App/Website:
- Style improvements to form elements.
- Fixed a bug with filtering large lists on iOS (contacts, Sync folder).
- Improvements to the styles common to the app and website. Individual subpage buttons can now have custom background colours -- please contact support if you need this enabled.
Contacts module:
- New function allowing to import in real time a full CSV spreadsheet exported from the switchboard.
- Improvements for the automated number detection.
Standard Guidelines module:
- Style improvements to the document edit form, and to the list of documents due for review.
- Removed "Last review date" field.
- Simplified display of the full list to a layout similar to other toolbox modules. Instead of an "Edit" button to the right, there is now a small "Wrench" icon to the left to edit a document entry.
Posters/Reports module:
- The number of edit revisions should now include more editor actions.
- The number of attached files and clinical guidelines should now include documents from the Sync folder.
- Spacing/font size improvements.
Toolbox Sync module:
- Improvements to the indexing and compressing functions, and to the detection of orphan entries.
- Added a page listing added and deleted documents in the last day. A dropdown can select the delay between 1 and 31 days.
- Added email notification for documents added or deleted in the last day.
- It is now possible to cross-link a document from its own properties page into other folders. (In addition to the "Add to folder" page.)
Calendar module:
- Added a secure key to prevent guessing calendar feed URLs by unauthorised requests.
Administration:
- Fixed a bug with the search cloud in some cases did not link to the searches.

- Some public pictures are now moved to a quick access "cache" folder instead of the password-protected private folders.

Website/App:
- Redesigned the Change hospitals page and user interface.
- The search box in the Help centre will now show suggestions as you type.
- When an anonymous visitor requests a restricted file, a simple sign in form will appear rather than the "Welcome" page.
App:
- Improvements to the modal dialogue boxes.
- Improvements to the update functions.
- Update the file caching functions to work with the new restricted downloads.
- Sensitive information is now encoded in storage.
- The message that an update is ready will now slide up animated from below.
- The last modification and review dates are now shown in short time/date/month format depending on the length of time passed. Tap on the date to see the list of edits, authors, and edit summaries (if supplied) in the last 31 days (this requires the device to be online).
- New icons in the administrative interface.
- A link "X orphan or duplicate entries" will now appear at the top of the listings if there are such entries. The link opens a list of all such entries, and you can report them into different folders or delete them.
Contacts module:
- Improvements to the layout and filtering on the website.
- Short contact entries on large screens will now appear in 2 columns.
- A tiny "wrench" icon before the name will allow to edit the entry.
- If you prefix a contact name, or a category name, with exclamation mark "!", it will be listed before other contacts or categories. Use a tilde "~" to list the item at the end.
- The Edit contact form was redesigned:
- separate buttons for adding new fields
- grab the contact numbers with the mouse and move them around
- removed number dropdown for primary/flagged numbers, just the top telephone or extension will be considered "primary".
QR codes module:
- The page will now load much faster, individual QR codes are now pre-generated instead of the browser downloading the individual pictures.
- The heading at the top of the page can now be edited, and will appear on all pages in addition to the first one.
- You can now drag individual slides with your mouse to reorder them.
Administration:
- Trusts can now have a custom paragraph on the Welcome message to newly created accounts.
- New email template when a user tries to create an existing account.
Documentation:
- Updated Frequently asked questions.
- Added Data privacy statement
Security:
- Downloading uploaded files will now require an authenticated user session.
- Typing the wrong password 5 times will now lock the account for 30 minutes.
- Update some recommended server security headers.
- Update the "create account" and "forgot password" responses to prevent revealing if an account already exists.
- The 2FA will now require to type the code before it can be disabled.

Website/App:
- It is now possible to merge table cells vertically. This feature is experimental, see How to make tables.
- Improvements to some notification messages with rich text.
- Simplified Settings page.
App:
- Added a new checkbox to the sign in form. When unchecked, the content is stored in ephemeral storage that is cleared after 5 minutes of inactivity or when the app or browser window is closed. Also, a "Logout" button is inserted at the start of the footer shortcut bar for quick sign out.
- Fix a bug with the PDF viewer on some devices, when a page is rotated more than 3 times it could change proportions.
- Improvements to the full text search in PDF documents (on the website).
- Fix a bug with cross-linking when a filename has multiple spaces one after another.
- It is now possible to hide some files from the listings, however we recommend that you delete the files from the shared folder. This feature can be useful if a file needs to be immediately removed.
- Improvements to the document expiry date configuration page: more years can be selected, and the year container scrolls to reveal them in the past and in the future.
Autologin module:
- Fix a bug that prevented some users to sign in, and enabled notifications for these cases.
Feedback forms module:
- Improvement to the feedback messages in rich text format.
Administration:
- Improvements to the App layout of the posters and reports when exported to PDF.
- The QR codes can now be ordered by dragging them with the mouse.
- The "Poster B" heading changed to "Need help starting your new job?" (still editable).
- Administrators can now edit properties of accounts that have never signed in (name, email, job role). This can help when there have been typos. Once a user has signed in, they can change their properties in the Settings page.
- Modifying user permissions in the admin form will now immediately terminate any active session and the user will need to sign in again.
Documentation:

Security:

- Improvement to the password strength labelling, it is now possible to have "passphrases" of 3-4 words instead of passwords with complex character requirements.

- Updated PDF rendering library to latest version.

Website:
- The page trees on the toolbox homepages now have a tab to toggle open/close all branches.
- Many listings and tables with a date/time stamp will now show it in a short relative format.

Website/App:
- Work is in progress with improving the email notifications with nicer rich text format, links and logo.
- The List files page will now link to pages containing files not listed in the uploads directory (typically, files from the synchronised shared folder or from a library feed).
App:
- Users can now configure their personal homepage on their device. To do so, tap on the "Star" icon like you would bookmark a favourite page, and in the dialogue box select "Set as homepage". The hospital cover picture, the search box and the user bookmarks will be added to this page, and links from the header and sidebar will open it.
Visual editor:
- Videos embedded from YouTube and Vimeo will now have their cover pictures cropped, removing black margin.
- Improved adding a video to a new page, before the page is saved.
Contacts module:
- Improvements to the bulk-import contacts function.
Guidelines module:
- Work is in progress to improve the notifications about documents due for review.
Toolbox Sync module:
- Renamed, moved, and duplicate files will now keep their expiry dates without the need to re-tag them.
- It is now possible to configure automatic spacing of document titles from file names such as "EmergencyBloodManagementPlan" -> "Emergency Blood Management Plan".
- In the document configuration page, PDF files can now be previewed under the form.
- After editing a document entry, the listing will scroll to this document, which will be highlighted.
- The filter box will retain the search terms after a user clicks on a file and returns to the list.
- Improvements to the document expiry date configuration page:
- Coloured buttons according to the date: red=expired, yellow=due soon, green=valid.
- Added shortcuts Middle-click or Ctrl+click on a month or a year will directly save the date, no need to click on the "Save Month Year" button.
- Improvements to the CSV export and the monthly email notifications.
Library feeds module:
- Added a new optimised data format.
Administration:
- Improvement to the posters app mockup styles (homepage buttons in 2 columns).

- Added a checkbox to show/hide documents with "N/A" (no expiry date) separate from the "unknown" expiry dates.
- The status checkboxes will only appear for editors, and only when there are more than 1 statuses among the listing.
- Improvements with browser caching after an edit in the sync folder.
Administration:
- Analytics monthly data table and chart can now show the last 1, 2, 3 or 4 years (link added under the table).
- Large tables will now scroll horizontally, with the first column fixed.
- The charts will now use thinner lines for larger datasets.
- The page analytics and the manage users tables will now show the dates in a shorter human-readable format. The tables can be ordered by clicking on the headers of these columns. The system recently started storing the full date and time stamp instead of just the date.
